Bulk edit inside a PIM tab

Change one marketplace field on every product in a category at once, with a rule, a condition and a preview before you confirm.

Before you start

This bulk edit sits on a marketplace tab and changes that marketplace's fields. Its scope is already set by the tab you have open: the products in that category that have a tab on that marketplace.

You work with a rule. First decide whether you are setting a value, replacing one, or pointing the field at your own data. A rule reads like a sentence: for every product with the word green in the description, the field for colour gets the value Green.

Steps

  1. Open a product with "Edit" and click the marketplace tab you want to work on.
  2. Click "Bulk edit", next to "Save product".
  3. Read the scope line under "Create your rule": your category, the marketplace and the marketplace's own category code.
  4. Choose the action in "Select action": "Set value" writes a value, "Replace value" is a find and replace inside the text that is there, "Set reference field" points the field at one of your own fields.
  5. Pick the field in "Select version field". This list holds the fields of this tab, so it differs per marketplace and per category.
  6. Fill in the value: "New value" for "Set value", with the "Override" checkbox under it (unticked it only fills fields that are still empty, ticked it also overwrites fields that already hold something); "Replace" plus "With" for a find and replace; or your source field in "Select reference field". A field with a fixed list of marketplace values shows "Select a value" instead, without the checkbox.
  7. Fill in a "Condition": a field, an operator such as "Contains" or "Equals", and a value. "Preview edit" stays off until the condition is complete, and "Add condition" narrows it further.
  8. Click "Preview edit".
  9. Read the preview. It shows "Old value" against "New value" per product, with the tab it lands on and the count "Total changes to effect : N".
  10. Click "Confirm".

What happens next

The change is written to every product in the preview, on this marketplace, not only to the product you opened. Open one of the other products afterwards and you see the new value, or the new reference, on its tab.

Common problems

The preview says "No records found". Nothing matched. Check the condition first: the rule only runs over the products in this category that have a tab on this marketplace. With the action "Set value" on a field that takes a typed value there is one more cause: with "Override" unticked the rule only fills fields that are still empty, so products whose field already holds something are left out. Tick "Override" if you mean to replace what is there.

"Preview edit" stays greyed out. The rule is incomplete. It needs the action, the field, the value and a filled in condition.

A field is missing from the list. Under "Replace value" and "Set reference field" the fields with a fixed list of marketplace values are hidden, because neither applies to them. Pick "Set value" and choose one of the marketplace's own values.

FAQ

How is this different from the bulk edit on the products page?

That one changes your own product fields and asks you for a category and a marketplace. This one changes the fields of one marketplace tab, has its scope already set, and can set reference mappings in bulk. See Versions and bulk edit.

Does this work on every marketplace?

Yes. The button, the actions, the condition and the preview are the same everywhere. Only the field list differs, because it comes from that marketplace category.
